A rapidly growing professional services firm is seeking a Billing & Customer Experience Specialist to support its financial operations during a period of significant expansion. This role is central to ensuring accurate billing, thoughtful client communication, and smooth revenue flow in a fast-paced, high-expectation environment.
The ideal candidate brings prior law firm billing experience, a strong understanding of engagement letters, and the confidence to raise questions early, before invoices go out. This position blends technical billing expertise with client-facing communication, making it well-suited for someone who values precision, accountability, and service excellence.
Key Responsibilities
Billing Operations
- Prepare, review, and process client invoices in alignment with engagement letters and firm billing guidelines
- Proactively identify discrepancies, billing questions, or compliance issues before invoices are finalized
- Partner closely with attorneys and internal stakeholders to clarify time entries, billing structures, and client-specific arrangements
- Maintain a high level of billing accuracy in a high-growth, deadline-driven environment
Client Experience & Collections Support
- Support collections through professional, relationship-focused client follow-up
- Monitor aging reports and flag potential concerns early
- Communicate clearly, respectfully, and confidently with clients regarding invoices and payment timing
Systems & Process Improvement
- Utilize legal billing and practice management software (e.g., Clio or similar) to manage billing, reporting, and records
- Contribute to the refinement of billing and revenue processes as the organization scales
- Maintain organized documentation to support reporting, audits, and leadership review
Qualifications
Required
- Prior law firm billing experience (legal billing required)
- Strong understanding of engagement letters and legal billing structures
- High attention to detail with the ability to catch issues proactively
- Professional, client-oriented communication skills
- Ability to work independently in a fast-moving, evolving environment
Preferred
- Experience with Clio or similar legal practice management software
- Exposure to billing and collections within a professional services setting
- Experience supporting growing or entrepreneurial organizations
