We are seeking a Project Controls Engineer to join our team in Newark, OH. This full-time position will support the successful execution of special projects. Key responsibilities include document management, coordinating with internal and external teams, and ensuring timely project deliverables. Strong organizational skills and attention to detail are essential.

Essential Job Functions include:

 Organize and maintain project documentation to ensure easy access and compliance with company standards. This includes contracts, permits, records, and other relevant documents.

  • Assist the estimating department with various aspects of project procurement, such as gathering information, preparing estimates, and coordinating with suppliers.
  • Serve as the primary point of contact for project communications, keeping all stakeholders informed and aligned on project updates and changes.
  • Process contractual documents and maintain effective communication with owners, subcontractors, and vendors to ensure smooth project execution.
  • Schedule and coordinate project meetings and logistics, including booking meeting rooms, sending out invitations, and managing meeting agendas.
  • Track project milestones and deadlines to ensure timely completion of project tasks.
  • Prepare and submit project reports summarizing project progress, challenges, and recommendations.

 

Requirements include:

  • Minimum 2 years of administrative support experience, preferably in construction.
  • Proven track record in managing complex administrative tasks, such as document control, scheduling, and report generation, while meeting tight deadlines.
  • Strong organizational and time management skills to prioritize tasks, multitask effectively, and maintain a high level of accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software to efficiently manage administrative tasks and create professional documents.
  • Excellent verbal and written communication skills to effectively communicate with diverse stakeholders, including clients, contractors, and internal team members.
  • Strong analytical and problem-solving skills to identify potential issues, develop effective solutions, and make informed decisions.
  • Ability to work effectively as part of a team to collaborate with colleagues, share knowledge, and contribute to a positive and productive work environment.
